How much does an answering service cost?

How answering service pricing works: the three ways services charge, the fees on top of the rate, and how to estimate what a property portfolio will pay.

Answering365, a live answering service, estimates live answering at $0.75 to $2.00 or more per minute, or $0.75 to $2.50 per call for basic message-taking, in its 2026 pricing guide (opens in a new tab). For property management, it estimates $150 to $500 a month per portfolio, without saying how large a portfolio that assumes. What you pay depends on how many calls you get, how long they last, and the fees on top of the rate.

Key takeaways

  • Answering services charge in one of three ways: per minute, per call, or a monthly plan with a set amount included.
  • Published plans from live services work out to about $1.43 to $3.95 per included minute.
  • Fees on top of the rate can add up: setup, transferring calls, and changing your script.
  • A property portfolio's call volume grows with its units, so price each service against your own call volume.
  • Before you sign, ask what counts as a billable minute or call, and what happens when you go over.

How does answering service pricing work?

Per minute. You pay for the time an operator spends on your calls. Answering365 estimates the range at $0.75 to $2.00 or more per minute, and charges $0.90 to $1.25 itself. Per-minute pricing adds up on long calls, like a maintenance call where the resident describes the problem and arranges access.

Per call. You pay a set amount for each call, whatever its length. The same guide gives $0.75 to $2.50 per call for basic message-taking and $3.00 to $7.00 or more for calls that involve scheduling, intake or dispatch. Per-call pricing is easier to predict, but every call counts, including the short ones.

Monthly plans. You pay a fixed monthly fee for a set number of minutes or calls, and a rate for anything over. Monthly plans are the most predictable, as long as the plan fits your real volume. Check the overage rate: a plan that's cheap at its included volume can cost more than per-minute pricing in a busy month.

What do answering services charge in practice?

Four live answering services list these plans of about 100 minutes a month on their own pricing pages (checked October 13, 2026, before taxes and add-ons):

ServicePlanPer included minute (our estimate)
AMBS (opens in a new tab)$149 a month for 100 minutes, plus $85 setup$1.49
MAP Communications (opens in a new tab)$179 a month for 125 minutes$1.43
Specialty Answering Service (opens in a new tab)$159 a month for 100 minutes$1.59
Ruby (opens in a new tab)$395 a month for 100 minutes$3.95

Three of the four land in the upper half of Answering365's $0.75 to $2.00 range, and Ruby is about twice its top. Once the included minutes run out, AMBS charges $1.29 a minute, MAP $1.30 and Specialty $1.44.

CoreReach starts at $99 a month, priced on the units you manage. See our pricing page.

What fees come on top of the rate?

Answering365 lists these common fees on top of the rate:

FeeTypical cost
Setup or activation$50 to $500, one time
Transferring a call to your team$0.50 to $2.00 per transfer
Changing your script$25 to $100 per update

For a property manager, the transfer fee matters most. When a live service puts an emergency caller through to your on-call person, that's usually a transferred call, so the busier your nights, the more those fees add up. Script fees matter too: every time you change on-call contacts, office hours or your emergency rules, you may be paying for an update.

Billing terms vary too. AnswerPro asks for the first and last month as a deposit and bills every 28 days (AnswerPro pricing (opens in a new tab)), which comes to 13 bills a year.

What does an after-hours answering service cost?

After-hours coverage is priced the same three ways, but the hours can cost more. Some services charge a premium for nights and weekends, and Answering365 puts holiday surcharges at 1.5 to 2 times the normal rate. Specialty Answering Service's pricing page (opens in a new tab) lists holiday and weekend fees without saying what they are. Ask about both, and check whether a monthly plan's included minutes cover your busiest season. A cold snap or a storm can bring in far more calls than a normal night.

How does cost scale with a property portfolio?

Call volume grows with the number of units you manage. Rental platform Hemlane found that tenants submit an average of 3.3 maintenance requests per unit per year, across more than 193,000 requests (Hemlane (opens in a new tab)). Not every request comes in by phone, and not every call is about maintenance, but more units means more calls.

To estimate your own cost, you need three numbers from your phone records: how many calls you get a month in the hours you want covered, how long they last on average, and how many need to be transferred. Then apply each service's pricing. As an illustration only: 60 calls a month at an average of 3 minutes, at $1.00 a minute, is $180 before transfer and script fees.

How is an AI answering service different?

CoreReach answers every call at once, so on a storm night nobody waits in a hold queue. Every call comes with a written summary, the recording and the transcript. The price is set by the number of units you manage, and it's on our pricing page.

How do you choose an answering service?

Get a quote from each service against your own call numbers, then ask each one the same questions. The answers show what you'll pay once the fees are added.

  • What counts as a billable minute: talk time only, or time spent writing up the message too?
  • Is there a minimum per call, and are wrong numbers and hang-ups billed?
  • What does each transfer cost, and are transfers to your on-call list included?
  • What does it cost to change your script, contacts or rules?
  • Is there a setup fee, a contract or a cancellation fee?
  • What happens when you go over your plan?
  • Can it answer several calls at once, or do callers wait in a queue on a busy night?
  • Do you get a recording and transcript of every call, or only the message?

Frequently asked questions

Why do answering services charge for transfers?

A transfer keeps the operator on the line while they reach your team, and some services treat it as a separate task. Answering365 lists transfer fees of $0.50 to $2.00 per call. If emergencies regularly go to your on-call person, include those fees in your comparison.

Is an answering service cheaper than hiring a receptionist?

Usually, for after-hours coverage. The U.S. Bureau of Labor Statistics puts the median pay for receptionists at $18.27 an hour (May 2025, BLS (opens in a new tab)) before benefits and payroll taxes, and nights and weekends add up to far more hours than a working week.
